CAIRO: Changing Document Properties


On the main menu click on Properties to see this form:

At the top of the form you have the usual Find Documents fields. Below this is a list of documents you can select.

You may only select one document.

Select the training document and click Properties to see this form:

The version displayed here, as you can see from the title, is the administrators version and includes all fields. Not all users will see all options displayed here.

On this screen you can modify any of the document properties. However, this should be done with some caution, changing document status and internet status may have further consequences. These special fields are not normally displayed however, so most users can change entries freely.

Each of the fields here are described in more detail during the relevant help section. Here is a summary:

  • Document Title - The documents name
  • File Pathname - The location of the file on the server
  • Document Type - Agenda, Report etc
  • Author - The name of the author
  • Officer - The name of the officer who is responsible for the document
  • Reference Number - any identifying reference
  • Status - In progress, Draft, Approved
  • Confidential? - Yes or No
  • Intranet OK - Yes or No: OK to view on the Intranet
  • Internet OK - Yes or No: OK to publish to the public Internet
  • Keywords - Used to assist document searching
  • Precis - Option summary of the document
  • Checked Out - Yes if checked out to a user
  • Checked UserID - The user ID if checked out
  • User Name - The name of the user who checked it out
  • Checked Out Date - The date the document was checked out
  • Created Date - The date the document was created
  • Last Update - The date the document (or its properties) were last updated.
