CAIRO: Finding Documents


Click on Find Documents. This screen is displayed:

The top three fields let you select different selection criteria, whenever you call up this screen there are default find criteria set. The system looks for documents that are up to 6 months old for all committees.

Sorting fields

Firstly, you can choose the sort order of the list by clicking on the sort button. The first time you click the column is sorted from A-Z - or for date fields most recent first. If you click it again the sort order reverses.

Searching

First of all we will search for a particular meeting, in our list there are already documents showing for the Cabinet, so let us select cabinet only documents. Click on the down arrow button next to Select Committee. Select Cabinet Executive and click on the Search button. Now only documents relating to the chosen committee are displayed.

If we want to search by a different date range we can enter new dates. Firstly set the Select Committee back to (none) to make sure we get all documents. Then move to the Meeting Date first field - this is the start date - documents must have been created on or after this date. Enter 01/01/2000 - 1st January 2000.

Press [TAB] to move to the end date - enter 01/06/2000 the 1st of June 2000. Click on the search button. This time many documents are displayed.

But we can also search for particular text. Move to the Free Text field. Here you can type in keywords, enter School Meals and click the Search button. Only a few documents are shown. These documents each contain the words School and Meals.

You can also select documents containing School or Meals. In the Free Text field enter School or Meals and press Search. This time a much longer list is shown.

You can also find words which are near each other. Enter School Meals near Special Needs and press Search. Even fewer documents are found now.

From here you can also view documents. You can select one or more documents to view by clicking on the checkbox next to the document you are interested in.

Select two documents, then click the View button. Two new windows are displayed with the selected documents. Depending on the document format (for example Word or HTML files) you may get a standard Explorer display or you may have additional options.

From this screen you can print documents to your local printer or save the document to your PC.

These are regular explorer windows - you can leave them displayed while switching back to CAIRO for further work or you can close them down by double-clicking the X or selecting File, Close.

Even though you can view these documents or maybe even change them - any changes you make will not be stored in the main Cairo document library.
