CAIRO: Linking documents to meetings, committees and other documents


Any document can be linked to a meeting, committee or another document. For example: when viewing a meetings details you can also a list of all related documents. Similarly, when viewing a committee you can also see all related documents.

From the main menu select Document Options, Set Links to see this form:

The top section uses the standard Find Documents fields. The lower section allows you to select one or more documents to modify. Select documents by clicking the checkbox to the left of each document.

Select the Training document and click on the Links button to see this form:

Notice that the document is already linked to a committee and a meeting. This happens automatically when the document is created. Notice also in the Master column these are set to YES. This means this document was created specifically for the meeting and committee shown.

We will now link the document to another meeting. In the Meetings section, click on the Add button to see this form:

The name of the document is displayed and below a drop down list of all the meetings you can select from.

Select the meeting required and click the Accept button. The main links list is displayed again. If you want to confirm the change you made, find the document again and click Links.

Notice that your new link has been added to the Meetings section.

You can also click the Edit button next to a link to change the settings for the link. Click Edit next to your newly added link to see this form:

You can either change the link by selecting a new meeting, or you can delete the link by clicking on the Delete button.
