CAIRO: Editing Member Details


To add members or edit member details click on Admin Menu, Edit Members to see this form:

Click ADD to create a new member, click EDIT to edit member details on this form:

This is a large form and holds a lot of information:

Name

  • Members Title - Mr, Mrs etc
  • Fore Name - The name the councillor normally uses (may be a middle name for example)
  • Surname - The councillors surname
  • Name in Full - as it would appear on a voting record, include middle names etc
  • Qualifications - for letters after the name, such as MBE, FRPS etc

Ward

  • Full Ward Name is the official ward name as on a voting record
  • Short Ward Name serves as a way of grouping wards together and for being used when screen space is limited.
  • Party Affiliation use the drop down list to select the political party.

Private Address

  • Address - the councillors address for council correspondence
  • Phone, Fax - contact details for council correspondence
  • Email - used when circulating documents by email and for council correspondence

Public Address

  • Address - published on the public web site - for public correspondence
  • Phone, Fax - published
  • Email - published - for public contact via email

In many cases this information will be the same, but it does not have to be.

Dates

  • Date Elected This Session - the election date for the councillor in this session
  • Date Retires - the end of this councillors session either retirement or re-election
  • Date First Elected - the date the councillor was first elected to the council
  • Active This Session - the councillor is elected for this session

Notification

  • Method - whether councillor receives information by email or printed copy

Notes

  • Biography for information to be published on the public web site
  • Notes for internal information - not published.

Photograph

  • File Name select from loaded photographs (see Adding Photographs)
  • Photo display the photograph selected - note this photograph is not updated in real-time, if the photograph is changed it is not re-displayed until you next view this screen.

Committees

  • Select you can select the committees this councillor attends.

IMPORTANT

When a councillor retires or session ends do NOT delete the record. Instead mark the councillor as not active. This will allow searching on councillor details over a period of time, even if the councillor is no longer active.
